Smart Scheduling helps event organizers move from participant profiles to proposed matches and meeting schedules without building the entire agenda by hand. It is designed for structured matchmaking events where participants are grouped into two event roles, such as mentors and proteges, primes and small businesses, or buyers and sellers. This page explains the organizer workflow at a user level: prepare preferences, run matching, review match status, configure scheduling limits, run scheduling, and review the resulting meetings.

Smart Scheduling workflow

The organizer workflow has three main phases: matching preferences, proposed matches, and scheduled meetings.

Prepare matching preferences

For each participant company, organizers can review or set what that company is looking for in the opposite event role. Available preference fields include:
  • Target NAICS codes
  • Target agencies
  • Custom search text
Companies without preferences can still be considered using available profile information, but fuller profiles and clearer preferences make event preparation easier.

Run matching

Run matching to create proposed matches between the two participant groups. MERIT uses available event and company profile information to suggest which companies should review each other as potential event meetings.Organizers can clear and rerun proposed matches when event setup changes.

Review match status

After matching runs, organizers can review match status before scheduling. Match status helps show which proposed matches are available for scheduling, which have been accepted or declined, and which are still pending review.

Configure scheduling

Set the scheduling limits for the event, including minimum and maximum meetings for each role and the number of tables available. MERIT can suggest a configuration based on the number of participating companies.These limits help organizers balance event capacity with the desired attendee experience.

Run scheduling and review results

Run scheduling to create meetings from eligible matches. Organizers can then review meeting summaries, time slots, tables, and company pairings from the event management workspace.If the event needs changes, organizers can adjust configuration, manage meetings, or work with MERIT on the setup path for that event.

What organizers can review

See which companies are present in each event role and which companies have matching preferences set.
Review total proposed matches, schedulable matches, accepted matches, declined matches, and pending responses.
Set meeting limits for each event role, choose the number of tables, and use suggested settings when they fit the event.
Review the created meetings by time slot, table, and company pairing.
Clear proposed matches, clear meetings, rerun matching, rerun scheduling, and manage meeting details when the event setup requires changes.
Before running scheduling, make sure both event roles have participating companies and that the event’s meeting limits match the capacity of the event day.

Reading the schedule

After scheduling runs, organizers can review the schedule from several angles: By meeting — review company pairings, dates, times, and table assignments. By time slot — see which meetings are happening during the same window and how the event day is filling. By table — review table assignments for room and floor management. By attendee — attendees can view the event meeting information available to them from their event dashboard.

Making changes

If the schedule needs adjustment, use the organizer controls available for your event. Depending on the event setup, this may include:
  • Updating meeting limits or table count
  • Clearing and rerunning proposed matches
  • Clearing and rerunning scheduling
  • Reviewing or editing meeting pairings
  • Canceling meetings that should no longer occur
  • Working with MERIT on event-specific setup changes
Schedule changes can affect attendee expectations, so make changes carefully once participants have begun reviewing their meetings.
